Trax Construction, a Colorado-based construction and landscaping company has relied on AUTOsist and its fleet management software since 2017 to make fleet management easier across its team. Trax has a wide variety of vehicles and pieces of equipment, totalling nearly 300 mobile fleet assets to provide quality services to its customers and community.
With AUTOsist’s fleet management software and mobile apps, the company tracks individual trucks, trailers, and pieces of equipment, each with its own specifications, maintenance requirements, and utilization, to stay ahead of potential issues and save on expenses.
Without a way to immediately identify a problem or issue with a piece of equipment or vehicle, it was difficult for the maintenance team to know what needed to be repaired and service the fleet efficiently to avoid jobsite disruption. In addition, Trax has dozens of commercial vehicles that require DOT pre-trip inspections to be logged and stored for records. Since the commercial vehicles were only mobile assets required to be inspected, there was no simple solution to also inspect equipment, trailers and other vehicles in the same sense without fleet software.
Transitioning from paper forms to AUTOsist’s mobile app allows for a more streamlined process since if there are issues on a pre-trip, our Maintenance Manager, Safety Director, and whoever else you want to be alerted via email about the maintenance issue automatically gets an email. This saves the maintenance staff a tremendous amount of time which leads to less downtime and much safer to operate vehicles and equipment.
“We’ve saved money since we no longer have to purchase pre-trip inspection booklets anymore. With the mobile app, we customize reports for vehicle and equipment inspections and assign them to the appropriate equipment and team member.”
- Ryan Vanhorn, Trax Construction General Manager
With 300 fleet assets and an even larger workforce, it was difficult to keep track of all of the fleet and vehicle paperwork that each driver needed readily available. Before AUTOsist, there were frequent cases where truck drivers couldn’t easily locate the paper registration and insurance cards during roadside inspections.
Failing to produce these documents can lead to fines and violations that could be easily avoidable. With AUTOsist, Trax drivers and managers have the ability to access the digital “Glove Box” on the mobile app and produce scanned copies of the documents. This feature has saved the company on numerous occasions and provides a convenient storage system for all necessary vehicle documentation.
The flexibility of AUTOsist’s fleet management software lends itself to customized features the team is happy to develop for its customers. Trax was one of the early adopters which requested a feature where the vehicle inspection records were ONLY kept and stored for three months before being automatically removed from the system.
The custom feature, which AUTOsist’s engineering team developed and launched, decluttered the mobile experience so drivers and maintenance staff could focus on the most recent repair requests, while fulfilling the compliance requirements to store inspection records.
“The AUTOsist app is very user-friendly. A lot of times we use the app to add pictures and make changes to vehicle or equipment files. Being able to set reminders for scheduled maintenance and annual inspections has also been huge for us.”
- Ryan Vanhorn, Trax Construction General Manager
As a long-time user of AUTOsist, Trax experienced tremendous cost savings and process workflow improvements across the organization. When AUTOsist partnered with Azuga to offer GPS tracking devices and dash cameras at a discounted rate to customers, Trax took full advantage of the offer. With the dangers on the jobsite and need for its commercial drivers to operate safely on the road, adding GPS tracking and two-way facing dash cams were necessary to ensure safety and compliance.
Using Azuga GPS tracking devices, the information is automatically available in AUTOsist for fleet safety managers to monitor location, driver behavior such as speeding, harsh braking, and seatbelt use, plus a driver scoreboard to incentivize safe drivers across the company. The two-way facing cameras provide a live feed for managers to confirm distraction-free driving, give Trax a library of recorded video evidence in the event of a collision, and assist with bringing down insurance policy costs.
With so many tasks to manage and challenges facing fleet managers, a fleet management software without a quality customer support staff simply won’t suffice. In 2023, AUTOsist was recognized by Software Advice (Gartner) as the fleet management software company with the best rated customer service, a distinction Trax confirms.
“AUTOsist has been a great partner for us since the beginning in 2017 and the biggest reason why we love AUTOsist is the support. Any time we need help with anything, the team is available immediately via phone or email and has always answered quickly.”
