A fleet change log is a chronological record of operational decisions that tells every affected team what changed, who made the change, when it took effect, and why. Keeping it inside fleet management software gives drivers, dispatch, maintenance, and managers one current source instead of separate messages or spreadsheets. It records assignments, schedules, policies, configurations, and status shifts. Unlike a maintenance log, it records decisions rather than service work.
A change log captures decisions that alter daily operations. Oil changes belong in maintenance records. A revised interval, reassigned vehicle, or new inspection rule belongs in the change log.
Record driver and department reassignments, temporary loans between locations, and moves from active to reserve or out of service. Each entry needs an effective time and reason so dispatch does not assign a vehicle by using yesterday's status.

A change log connects an operational decision to the formal record that proves what happened. If a reviewer asks why a vehicle operated under a revised schedule, the log supplies the reason, approval, and effective date. It does not replace inspection, maintenance, or qualification records.
